Understanding our cancellation terms and refund procedures

Travel Insurance Highly Recommended

We strongly recommend purchasing comprehensive travel insurance to protect your investment. Cancellations within 30 days of departure receive NO refunds. Travel insurance can help cover these costs in case of unexpected circumstances.

Cancellation Refund Timeline

Refund amounts depend on when you cancel. The closer to departure, the higher the penalty.

30 Days or Less Before Departure

NO Refund
  • NO refunds provided
  • Client responsible for all charges
  • All fees, duties, and taxes apply
  • No exceptions

Payment Plan Options

Different payment plans have different cancellation and late payment policies.

Group Payment Plan

  • Payments due per Tour Proposal Agreement (TPA)
  • Final balance due 30 days before departure
  • $10.00 late fee per passenger for missed payments
  • No refunds if balance unpaid 14 days before departure
  • NSF/bounced checks incur $36 recovery fee

WeTravel Online Payment Plan

  • Payments due per WeTravel portal schedule
  • $10.00 late fee per participant per week late
  • $25.00 late fee for final balance per week late
  • Tour cancelled if unpaid 30 days before departure
  • All payments must be in U.S. currency

Important Cancellation Requirements

Written Notice Required

All cancellations must be submitted in writing. Email cancellations should be sent to our official booking email. Verbal cancellations are not accepted.

Educational Institution Penalties

Our cancellation penalties do not include penalties imposed by your educational institution or organization. Check with your group coordinator for additional cancellation terms.

Non-Refundable Items

The following are always non-refundable, regardless of cancellation timing:

  • • Prepaid attraction tickets and admissions
  • • Supplier cancellation charges (hotels, airlines, etc.)
  • • Credit card processing fees
  • • Travel insurance premiums (if purchased)

Force Majeure Events

In cases of force majeure (acts of God, pandemics, war, natural disasters, etc.), cancellation and refund policies may differ. Free Africa Tours and Safaris will work with suppliers to secure refunds where possible, but refunds remain at the discretion of individual suppliers per their policies.
